BilagPilot vs Chazy: A Chazy Alternative for Controlled Receipt Chasing
Chazy is a good product doing the same job we do, and in some respects it is further along: it has been listed on the Xero App Store since January 2026 and is generally available there, which our Xero connection is not yet. This page tries to be useful rather than flattering to us.

Short answer
This is the closest comparison on this site. Chazy and BilagPilot both start from undocumented transactions in the ledger, both chase the client automatically, and both push approved documents back. They differ on how much they will do without you.
Chazy’s Xero App Store listing offers “optional AI approval/rejection” — “let AI automatically process compliant documents or keep full control yourself” — alongside OCR, UK invoicing compliance checks, fraud-risk checks and automatic delivery into Xero. BilagPilot’s AI can suggest a match or flag a problem, but it never links, approves, rejects or sends a file. The review gate is not optional. Which of those is a feature and which is a liability depends entirely on your firm.
Two automation philosophies
Strip away the feature lists and the products encode two different answers to one question: how much of the accountant’s judgement should the software be allowed to exercise?
Chazy: let the AI clear the easy ones
Chazy positions itself as “your AI junior assistant”, and the analogy is apt. Its listing describes OCR extraction of counterparty, date, amount and invoice number; verification of documents against UK invoicing requirements; fraud-risk detection; custom validation rules you define; and then optional AI approval or rejection of documents that pass. Approved documents go into Xero automatically as Files, Bills or Invoices, matched to transactions.
The bet is that most documents are unambiguous, that a well-specified rule set can identify which, and that a firm gains more from not looking at the easy ninety per cent than it risks from the occasional miss. Chazy also lets you turn this off and keep full control, so the philosophy is a default rather than a constraint.
BilagPilot: the machine suggests, the accountant decides
BilagPilot’s AI review runs after a file is finalised and may suggest a match, a classification, or a rejection with supporting evidence. Every result stays for manual review. It never links a file to an item, never approves or rejects, never chooses account or tax treatment, and never sends a document to the ledger on its own.
The bet is the opposite: that the cost of an incorrect document reaching a client’s ledger, and of not knowing it happened, exceeds the time saved by not looking. For a firm whose name is on the accounts, an unbroken chain of human decisions is worth paying for in minutes.

- You are a UK Xero practice and want a Xero app that is generally available today, not in pilot.
- You want maximum automation and are willing to let AI clear compliant documents.
- OCR and UK invoicing compliance checks are part of what you are buying, not just collection.
- Your clients respond on WhatsApp.
- You want to start from inside Xero, with a button on the bank transactions screen.
- You need to chase reconciled transactions as well as unreconciled ones.
- You prefer pay-as-you-go with unlimited clients to a per-client subscription.
BilagPilot wins when
- You need a review gate that cannot be turned off, and an audit trail showing a person made each decision.
- You work across more than one ledger and want one queue for all of them.
- You want the client's explanation captured when a receipt genuinely does not exist, as its own state.
- You want your own wording in client messages rather than AI-written ones.
- You want a published price without a demo call.
- You need the tool to be demonstrably incapable of posting to the ledger — a procurement requirement in some firms.
Which is the better fit?
Three questions decide it, in this order.
1. Are you Xero-only, in the UK? If yes, Chazy is a serious contender and is generally available on the Xero App Store today, which our Xero connection is not. If you are on QuickBooks, Sage or FreeAgent, or on more than one, Chazy is not an option and this becomes straightforward.
2. Would you let software approve a document into a client’s ledger?Answer honestly rather than aspirationally. If your instinct was “no”, buy the tool whose default matches that instinct, because a control you intend to keep switched on is better than one you have to remember to switch on. If it was “yes, for routine items”, Chazy will save you more time.
3. What do you need to prove afterwards? If your files must show a named person deciding on each document, that shapes the answer more than any feature. If they need to show that a rule set was applied consistently, automation is a legitimate answer to that too.
Good fit for BilagPilot
- Multi-ledger practices — QuickBooks Online, Xero, Sage Accounting or FreeAgent, in one queue.
- Firms with a mandatory human review step they do not want configurable.
- Practices that need the unavailable-receipt state recorded properly for the file.
- Firms outside the UK, where Chazy is not listed.
Poor fit for BilagPilot
- UK Xero-only firms wanting the most automation possible. Chazy is built for exactly that.
- Firms wanting OCR extraction and invoicing compliance checks as part of the same purchase.
- Anyone whose clients only answer on WhatsApp.
- Practices needing a generally available Xero connection this month — ours is in pilot.
